The Scope

FSC works to take care of our forests and those who rely on them: by protecting plant and animal species, Indigenous Peoples’ rights, forest workers’ safety, and much more. We achieve this through FSC certification, ensuring forests around the world are responsibly managed. 
The Student Assistant supports the Facility Manager in the day-to-day administrative and operational activities of Workplace Management. The role contributes to maintaining an efficient, safe, and well-organized working environment by providing administrative, logistical, and coordination support while gaining practical experience in facility and workplace management.
This position offers practical experience in workplace and facility management, vendor coordination, event logistics, office administration, procurement, and health and safety processes within an international organization.

Main Roles & Responsibilities

Administrative Support:

  • Provide day-to-day administrative support to the Facility Management Team.
  • Maintain facility records, filing systems, inventories, and documentation.
  • Assist with processing invoices, preparing petty cash documentation, and supporting credit card reconciliations.

Office Operations and Workplace Support:

  • Support office moves, workstation setups, and workspace adjustments.
  • Monitor office, kitchen, and facility supplies and coordinate replenishment.
  • Help ensure common areas, meeting rooms, and shared workspaces remain organized and functional.
  • Help prepare packing of brand and merchandise items.

Meetings, Events and Hospitality:

  • Support the organization of internal meetings, workshops, and events.
  • Coordinate meeting room bookings, room setup, catering, and hospitality arrangements.

Onboarding and Employee Support:

  • Support the preparation of workstations and office equipment for new employees.

Health, Safety and Sustainability:

  • Support administrative HSE activities, documentation, and workplace safety initiatives.

Source-to-Pay and Process Support:
  • Support Facility-related Source-to-Pay (S2P) processes, including purchase requests, orders, invoice coordination, and process monitoring.
  • Contribute to the continuous improvement of administrative and operational Facility Management processes.

Data Analysis and Reporting:

  • Support data analysis, KPI reporting, and the preparation of management reports and presentations.
  • Identify improvement opportunities through operational data analysis.

Continuous Improvement:

  • Support the development of Workplace and Facility Management concepts, standards, and improvement initiatives.
  • Conduct research and benchmark best practices to enhance workplace services.

Your profile

  • You are enrolled at a university or university in Germany and will remain enrolled for at least one year in applied sciences, preferably in Business Administration, Hospitality Management, Facility Management, Human Resources, Event Management, or a related field.
  • Willingness to learn facility management processes and workplace operations. Previous administrative or customer service experience is an advantage but not required
  • Ability to work independently while collaborating effectively within a team, demonstrating strong organizational skills, a structured working style, and the ability to manage multiple tasks simultaneously. 
  • Good understanding of data handling and basic data analysis, including confidentiality when handling sensitive information
  • Fluency in English, with strong written and verbal communication and interpersonal skills.
  • You have a good command of MS Office, especially MS Excel and Outlook combined with the ability to learn new software and internal systems quickly.

The Fine Print

  • Start date: As soon as possible. 
  • Working hours: 20 hours per week (ideally across 3- 5 days per week). 
  • Duration: 12 months
  • Remuneration: 14€ gross per hour. 
  • Location: FSC office Bonn, Germany (hybrid).
